Overview
The Educator Talent Portal (ETP) provides several tools for managing user accounts effectively. This guide covers archiving inactive accounts, searching for users, and managing accounts with multiple authentication methods.
Archiving User Accounts
Instead of permanently deleting user accounts, ETP allows administrators to archive inactive or unwanted accounts. This keeps the user interface clean while retaining the option to restore accounts if needed.
Archiving a User Account
Navigate to Users
- Search for the user you wish to archive
- Click on the user's name to open their profile
- Click the Archive button
You will see the message "User has been archived successfully! The update will take 15 minutes to be applied." This message confirms the action was performed successfully.
Restoring an Archived Account
- Navigate to Users
- Click the filter dropdown and select Show Archived
- Search for the archived user
- Click on the user's name to open their profile
- Click the "Restore" button (which replaced the "Archive" button)
- You will see the message "User has been restored successfully! The update will take 15 minutes to be applied." This message confirms the action was performed successfully.
Effects of Archiving
- Archived users cannot log in to the system
If an archived user attempts to log in, they will see the message: "We can't seem to find your account"
- Archived users do not appear in the standard user list (when "Show Active" is selected)
- Historical data associated with the user remains intact
Filtering Users by Archive Status
The Users page includes a filter dropdown that allows you to toggle between viewing active and archived users:
- Navigate to Users
- Look for the filter dropdown (located to the right of the "All Roles" dropdown)
- Select either "Show Active" or "Show Archived"
- "Show Active" is selected by default and displays only active user accounts
"Show Archived" displays only archived user accounts
Searching for Users
Basic User Search
- Navigate to Users
- Enter the user's name and/or email address in the search field, and/or utilize the filters
- Press Enter or click the search icon
Required Permissions
To perform user account management functions, you need:
- Admin User View permission to search and view user accounts
- Admin User Edit permission to archive or restore accounts
